Duties & Responsibilities

Position Summary
As a member of the Harvard Library Financial management team and reporting to CFO, the Accounting Assistant will be responsible for timely and accurate financial transaction processing, including student and temporary staff payroll, and?providing outstanding support to the financial managers and finance customers.?

Primary Responsibilities:

  • Weekly processing of student and temporary staff payroll for 100-300 people weekly; assure timely and accurate timesheet entry and appropriate approvals and controls have been executed?
  • Processing and review of all corporate card and travel reimbursement including p erform pre-audit review of travel and reimbursement submissions; maintains tracking of travel monies?
  • Perform pre-audit review of Web Voucher submissions?
  • Establish and maintain up to date and accurate files?
  • Assist in the planning and execution of events
  • Maintains long range vacation calendar for all finance staff?
  • Assembles materials for budget meetings and reviews and supporting documentation binders for audit purposes?
  • Manage complex calendars for the CFO, Controller, and Director - Financial Planning and Analyis, with numerous stakeholders throughout the Harvard Library and Harvard University
  • Support the creation of?PowerPoint presentations and excel spreadsheets?
  • Maintains office supplies; submits appropriate orders and oversees payments to vendors?
  • Performs a range of other administrative/clerical duties as needed?
Basic Qualifications
  • Undergraduate degree or equivalent work experience required and 2-3 years experience in a finance or accounting environment?
  • Intermediate (advanced preferred) working knowledge of Microsoft Office suite (PowerPoint, Excel, Word and Outlook) required?
  • Strong customer service experience required
Additional Qualifications
  • 2-3 years experience in managing payroll?preferred
  • Experience with Peoplesoft and Oracle financial systems preferred
  • Must be able to effectively multi-task and prioritize in order to juggle multiple commitments, competing deadlines and shifting priorities. Successful candidate needs excellent verbal and written communication skills, including the ability to effectively communicate by phone and e-mail
  • Good sense of discretion and ability to appropriately handle confidential information
  • Demonstrated detail orientation and consistent follow-through with a proven ability and judgment to take initiative
  • Ability to think ahead and plan appropriately to successfully manage complex schedules
  • Must be able to both work well independently and to pitch-in when needed as a member of a small team of finance staff
